Send phone messages via SMS

  Use myworkspace.com to take phone messages for team members?  Why not send the message via SMS!  A new button has been added to allow this within the Phone Message screen.  Of course you can still send the message via the eMail link.  Click here for the cheapest way to send SMS messages within myworkspace.com.


 
Ever wish to change the standard title used for a product on a customer order?

When you add a product to a customer order, the description displayed for that product comes directly from the title saved against that product's record.  Sometimes you may not wish to use that description ... for example, you may have a product with a title of 'Misc' but on the actual order you want to type in the real name of the product sold.  Now you can do this ... a new field has been added to the customer order line item called 'Alternate Invoice Description' ... it defaults to the item title but you can override it.


 
Record products by colour, size, etc

You can now track products according to their individual attributes.  If you sell products that come in multiple sizes, colours,   etc, then myworkspace.com now allows you to manage this without setting up one product per 'variant'.

Firstly set up the product sub-types you will require for your business (via Products & Orders ---> Products tab) ... perhaps you will set up Colour & Size.  Then add in the options for each sub-type (eg 8,10,12,14, etc).  In the product record, click on the Sub Type link at the top of the screen and tick which sub-types apply for that particular product ... after you save this, you will then see all of the possible variant combos displayed (eg size 8 - Green / size 10 - Green / size 8 - Red / etc).  When you add a product to an order, including via your online shop, these variants are displayed for selection.  If you wish to track inventory levels for these products, you will need to add inventory levels for each variant.


 
Easy way of managing product discounts

If you offer some of your clients special prices for products (say, 10% off all shoes), then you can now manage this easier by recording the discount at the Price Group level.  Any customer can be linked to a Price Group within their contact record.  Go to the price group record and enter the discount rules ... either for all products on your system or by product category. 

If you have a rule for a specific product category, plus a rule for 'all' categories within that price group, then the rule for the specific category will be given preference.  If you have a price rule for that price group set up within an individual product, then it will take priority over any discount set up against the price group record.


 
Easier management of part deliveries on customer orders

If you have recorded a part delivery on a customer order, when you go to add the next delivery against that order (say for the remainder of the order), only the items on back-order (i.e. not previously delivered) will be displayed.
 


 Enhanced performance for your email inbox

Your email inbox has received a performance boost!  You will notice a difference when deleting or saving emails ... they 'fade away' without having to do a full refresh of your inbox, saving lots of time!  Similarly, when the system checks your inbox for new emails, it doesn't perform a complete refresh ... it simply adds the new emails to the top of the list.

 Quick Actions

Wherever you can create or view actions within myworkspace.com (eg from a business, person, opportunity, expense, etc), the Actions/Activities link now has a small [+] after it.  Clicking on this will allow you to create a quick action on the fly ... a small pop-up form opens with the basics of the Action form.  Complete the details and save ... the pop-up window disappears.  The screen you opened the Quick Action from does not refresh ... saving valuable time.

 


 Enhanced news tracking

 When creating a link within a News article, you can put in a Title into the link details pop-up window which will uniquely identify your link. This makes it easier to track links in your News, especially if you have used 'Read more...' or 'Click here' on more than one link in your news. This allows you to uniquely identify each link. The person reading the news will see your Title when they hover their cursor over the link.

Also, if you wish to only enable recipients to unsubscribe to the group(s) that received the newsletter, this can now be done via a new field under the Details tab.  They will still be able to receive news in general, just not if sent to that particaulr group.

 


 Creating BAS reports by Area

 When you select that an area has its own BAS, all child areas associated to that Area will also be included in the BAS unless the child area is set up to have its own BAS.

 


Copying general journals

There is now the ability to copy a General Journal ... look for the button within the journal!

 


 Creating payments & receipts in bulk

The 'Unpaid Expenses by Supplier' and 'Unpaid Invoices by Customer' reports have been updated to include the ability to create payments/receipts in bulk. Just tick the items being receipted/paid and the system will automatically create the receipt/payment (one for each business) for you (after you click on the applicable button at the top).

 


Accumulated Financial Supplement Debts

There is now the ability to specify that an employee has an Accumulated Financial Supplement debt against their employee record. This flag will then be used when calculating the tax for that employee.
